Documents

Every contract, ID and receipt, filed where it belongs.

Maple Documents keeps files attached to the customer, unit, order or case they relate to, stored securely in the cloud and opened through links that expire.

  • Attached to any record
  • Find anything fast
  • Secure, expiring links

What changes

No more "who has the file?"

Files live with the record they belong to, so the person looking at a lease, an order or a complaint has the paperwork right there.

Filing cabinets, stacked folders and papers, a floating padlock and a document, with a staff member finding a file on a phone
  • Contracts and IDs scattered across email and desktops

Every file attached to the record it belongs to

  • Hunting through folders for one delivery note

Search every file across modules from one place

  • Sensitive documents shared as email attachments

Secure links that expire, and blocked risky file types

How it works

How files stay organised and safe

  1. 1

    Attach files to any record

Upload a lease to a unit, an ID to an occupant, a delivery note to a goods receipt or photos to a case, right from the record you're working on.

    • Uploads up to 25 MB
    • Categories and tags
    • Executable files are blocked
  2. 2

    Find anything

The All files view searches across every module, with filters for category, tag and location. Each branch can see its own documents.

    • One view across all modules
    • Filter by category, tag or location
    • Per-location views
  3. 3

    Share safely, delete responsibly

Files open through short-lived signed links instead of permanent addresses. Deleting needs a reason, and the record of it stays.

    • Short-lived signed links
    • Soft delete with a reason
    • Permissions on who can see what

Questions

What teams ask us

Something else on your mind? Ask us directly.

Where are files stored?

In secure cloud storage. Files open through short-lived signed links rather than permanent public addresses.

How big can a file be?

Up to 25 MB per file. Executable files are blocked for safety.

Can a file be deleted by mistake?

Deleting needs a reason and is a soft delete, so there's always a record of what was removed and by whom.

Can each branch see only its own documents?

Yes. Documents can be viewed by location, and permissions control who sees what.

Which modules use Documents?

Any of them. Leases on units, delivery notes on purchases, evidence on cases and photos on field entries are all common.
